Send for approval and add to an invoice

Lesson 14 of 14 · Sub-Bids & GC Workflows

When change order approvals are enabled for your company, Send for approval lets you choose the customer, project contacts, the source GC on a shared project, or assigned team members. Add a name and email or phone for someone without a Conduit account. Email includes the branded PDF and a private approval link; SMS uses your company’s existing messaging permissions and recipient consent.

The recipient opens the link, reviews the cost and schedule change, and types their full name to approve or decline. The signed document shows their name and the date and time in your company’s timezone; the PDF includes your logo, brand color and contact footer. The first response decides the change. Each recipient’s sent and viewed times appear on the change order. Delivery failures remain visible and can be retried; successful messages are not resent.

An approved change can be added to a project invoice. The latest draft is selected first. Sent or paid invoices stay unchanged; choose Create a new invoice for this change order instead. Changes already attached to an invoice or a progressive bid cannot be added again.

  1. Send the proposed change to the GC contact.
  2. Review the recipient's document, enter a full name, and approve.
  3. Add the approved change to the draft invoice.
  4. Edit the default template's approval clause and save it.

Use Edit template on the Change Orders tab or Settings > Templates > Change orders to open the same editor. Customize your company branding, document title, header fields, visible sections and approval wording. Make the template your default for future sends. The default clause says: Work on this change will not begin until it is approved in writing.
