Payments Setup

Connect Stripe, choose who covers processing fees, offer an ACH discount, and manage payouts and refunds.

Set up payments once, then every sent invoice can give the customer a secure way to pay online. A company owner or admin can open Settings → Payments to connect Stripe and choose how payment costs are handled.

Connect Stripe

  1. Open Settings → Payments.
  2. Click Connect with Stripe.
  3. Complete Stripe’s hosted setup. Stripe may ask for your legal name, business details, identity verification, and the bank account that should receive deposits.
  4. Return to Conduit. The page shows Stripe Connected when charges are enabled. If Stripe still needs information, use Continue Setup.

Conduit does not collect the identity details entered during Stripe’s hosted setup. Once connected, the Payments page confirms whether charges and payouts are enabled.

Card or bank transfer

The customer chooses a method on the invoice payment page:

  • Credit or debit card is familiar and quick for the customer. The all-in cost is Stripe’s 2.9% plus 30 cents and Conduit’s 1% platform fee.
  • ACH bank transfer connects the customer’s bank account. Stripe’s ACH cost is 0.8%, capped at $5, and Conduit’s platform fee is $1.

ACH may be unavailable for a particular payment because of amount, daily-volume, or bank-balance checks. When that happens, the payment page directs the customer to use a card.

Decide who covers processing fees

The Include processing fees on invoices switch controls what the customer sees.

  • When it is off, the customer sees the invoice amount. Processing costs come out of the payment you receive.
  • When it is on, the payment page shows a separate processing fee for the method the customer selects. The amount is grossed up so you receive the invoice balance after processing costs.

The Payments page includes a live $1,000 example for card and bank transfer, so review the customer totals before changing this setting.

Offer an ACH discount

Use ACH Discount to encourage bank transfer on larger balances. Choose a percentage or flat-dollar discount, enter the value, and click Save discount. The payment page calls out the savings and applies the discount only when the customer chooses bank transfer.

If fee pass-through is also on, the ACH discount comes off the invoice amount first. The bank-transfer processing fee is then calculated on the discounted amount.

Payable now or pay in full

Most invoices offer the full unpaid balance. A progressive invoice with retention can offer two choices:

  • Pay now, retention held per contract collects the invoice balance less the retained amount.
  • Pay full collects the full outstanding balance, including retention.

The pay-now option is selected first. Once the customer pays everything currently due and only retention remains, the invoice reads Paid · retention held. A retention-held invoice later collects only its retained balance, unless that balance has been transferred to a retention release invoice. Review payouts

From Settings → Payments, click Stripe Dashboard. Stripe opens its dashboard in a new tab. Use it to review the connected account’s balances, incoming payments, payout status, bank account, and Stripe’s expected payout timing. If the browser blocks the new tab, Conduit displays a direct dashboard link.

Payout timing is controlled by the connected Stripe account and its payout schedule. Use the Stripe Dashboard for the current date instead of assuming every card or ACH payment follows the same timetable.

Send a refund

Open the invoice and scroll to Payments. A successful payment has a Refund action.

  1. Click Refund beside the payment you need to reverse.
  2. Enter the refund amount. Leave the full remaining payment amount for a full refund, or enter less for a partial refund.
  3. Confirm the refund.

Online-payment refunds are sent through Stripe. Conduit also updates the invoice balance and status. A partial refund leaves the unrefunded portion on that payment. Manual payments can be adjusted through the same refund action, but no bank or card transaction is created for money recorded outside Stripe.

Refunds are available to team members who have the Record payments permission. By default that means managers, admins, and owners; a company can restrict the permission for a tier. Stripe tells customers that an online refund may take 5–10 business days to appear on their statement.
