Bid and Invoice Templates

The template editor

Open it from your avatar menu, Settings, then the Bid & Invoice Templates tab. The template list sits above the editor: it shows each template’s name, marks the current default, and offers Make default, Duplicate, Rename, and Delete for every template (Delete is hidden on the default row). Click a template to load it, or New template to start one from your current defaults. The left column is the form, grouped the same way for Bids and Invoices: Logo (show/hide, placement, size), Colors and font (accent color, and Default, Inter, or Source Serif), Title and header fields (up to 8, each sourced from a merge field, a custom field, or literal text), Columns, Sections, Notes and terms, Footer, and Paper. The right column is a Live preview built from the same sample documents used across the app, updating with every change; Preview PDF opens the real generated file in a new tab.

Default notes and Default terms (in the Notes and terms group) flow into real documents. A new bid or invoice starts with its Notes and Terms prefilled from the template that will be used: the customer’s pinned template for that kind if set, otherwise the company default. If you pick a different template on the form, fields you have not typed into update to the new template’s defaults; anything you typed stays. When the document itself leaves notes or terms blank, the PDF falls back to the template defaults (as long as the Notes or Terms section is enabled on the template), and the live preview shows these defaults too.

  1. Open the Standard template.
  2. Click New template.
  3. Name and create it.
  4. Set an accent color.
  5. Toggle a column.
  6. Set the footer text.
  7. Watch the live preview update.
  8. Save it.
  9. Make it the default.
  10. Duplicate a template.
  11. Rename a template.
  12. Delete a non-default template.
  13. Switch to the Invoices tab.
